Intake Specialist plays a critical role in the initial phase of
client engagement by efficiently managing and processing incoming
client information to ensure a smooth onboarding experience, as
well as handling established client inquiries in a high call volume
setting. This position serves as the first point of contact for
prospective clients, gathering essential data, verifying
documentation, and accurately entering information into the
company’s systems. This is a full-time in-office position; the
specialist collaborates closely with various internal teams to
facilitate timely follow-up and support throughout the intake
process. By maintaining clear communication and a client-focused
approach, the role helps build trust and sets the foundation for
long-term client relationships. Ultimately, the Client Intake
Specialist ensures that all client information is complete,
accurate, and compliant with company policies and regulatory
requirements, contributing to overall operational efficiency and
client satisfaction. Minimum Qualifications: High school diploma or
equivalent required; associate or bachelor’s degree preferred.
Prior call center experience required Prior experience in client
intake, handling high call volume, operating multiline phone
systems, customer service, or administrative roles. Strong
proficiency with data entry and client management software.
Excellent verbal and written communication skills. Ability to
handle sensitive information with discretion and maintain
confidentiality. Preferred Qualifications: Experience working in
legal, healthcare, or financial services industries Familiarity
with regulatory compliance related to client data management.
Proficiency in CRM software such as Salesforce or similar
platforms. Bilingual abilities, especially in Spanish, to support
diverse client populations. Responsibilities: Conduct initial
client interviews to collect and verify personal, financial, and
other relevant information. In office responsibilities may vary
depending on the needs of the business. Enter and update client
data accurately into the company’s database and case management
systems. Review submitted documents for completeness and compliance
with company standards and regulatory guidelines. Coordinate with
internal departments such as legal, finance, and customer service
to facilitate seamless client onboarding. Respond promptly to
client inquiries and provide clear information regarding the intake
process and next steps. Maintain confidentiality and security of
sensitive client information in accordance with company policies.
Track and report on intake metrics to identify areas for process
improvement and ensure timely client processing. Skills: The Client
Intake Specialist utilizes strong communication skills daily to
effectively gather detailed client information and explain
processes clearly. Attention to detail is essential for accurately
entering data and reviewing documentation to ensure compliance and
completeness. Organizational skills help manage multiple client
cases simultaneously while maintaining timely follow-up and
coordination with internal teams. Proficiency with client
management software enables efficient data handling and reporting,
supporting operational workflows. Additionally, interpersonal
skills foster positive client interactions, building trust and
facilitating a smooth intake experience. This is a full-time
in-office role, Monday - Friday, 8:30 am - 5 pm CST
