Job Title Customer Service Associate I - Administration - Bryan, Texas Agency Texas A&M Engineering Extension Service Department Law Enforcement and Security Training Proposed Minimum Salary Commensurate Job Location Bryan, Texas Job Type Staff Job Description Customer Service Associate I Full-time Bryan, Texas $13.37 per Hour The Customer Service Associate provides advanced customer service support to include processing student registrations, answering multi-line telephone and provides general information and referrals for all division courses, route calls to appropriate staff member. This position is also responsible for assisting with class preparation and assisting with the coordination of class schedules, to include classroom reservations and shipping of materials to assigned Instructors. This position reports to the Administrative Coordinator I. Required Qualifications: + High School Diploma or GED + Two years customer service experience. Other Requirements: + N/A Preferred Qualifications: + Three years customer service experience. + One year experience in general office or clerical work. + One year experience working with personnel or student records. + Experience processing credit card transactions. + Experience processing customer orders/changes. + Associates degree from an accredited college or university. Knowledge Skills and Abilities: + Excellent verbal and written communication skills. + Excellent interpersonal skills and ability to work cooperatively with others. + Ability to answer multi-line telephone system, screen calls, and route to additional staff as needed. + Ability to provide general information and referrals for specific classes. + Computer literate with working knowledge of word documents, spreadsheets, databases, and email. + Knowledge of clerical procedures and systems such as managing files and records, designing forms, and other office procedures and terminology. + Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Equipment: + Standard office equipment: computer, keyboard, multi-line telephone, multi-functional printer. Notifications: + This position is security-sensitive. + FLSA Classification - Non-Exempt. Essential Duties, Tasks and Percentages: Provides customer support to assigned program area - 45%: + Answers multi-line telephone system and routes to appropriate staff member. + Provides customer service and support to students and agencies using TEEX web-based training programs. + Provides individual assistance for students enrolled in asynchronous web-based training programs. + Serve as information resource for program and/or course requirements, registration, and process credit card payments. + Works with TEEX Curriculum Services to identify and resolve issues with Division online training courses and students. + Provides general information and referrals for division classes. Supports student data entry requirements - 40%: + Receives and processes all assigned student data registrations and course completion packets. + Conducts close-out procedures for each assigned class, including proper reporting of attendance, generating certificates, and course folders for record retention. + Reports appropriate student data to TCOLE for continuing education credit using the TCLEDDS online reporting system. + Assist in the preparation and proofing of materials for reports and other publications when needed. Orders, receives and ships course materials - 10%: + Supports shipping of classroom materials to assigned instructors and course information packets to potential students. + Assists in ordering course manuals. + Ensures all shipping needs have been addressed. + Receives manuals and determines course location for shipping. Other - 5%: + Participates in staff meetings, offers assistance during down times, etc. + Interacts positively and professionally with other staff members and students. + Adheres to normal work schedule. + Maintains student confidentiality. + Assists with coordination of classroom schedules and prepares the classroom for course delivery as needed. + Assists with revisions of division desk reference as needed. Perform other duties as assigned.
