Job Description:

Assigns and plans work schedules, supervises, trains, disciplines, and evaluates performance of subordinate workers on the day shift of the Mailroom and Distribution department. Supervises insert and TMC mailing operations daily of the Mailroom department; supervises the mechanical maintenance operations of the department; supervises inserts and materials receiving, storage, and setting-up of inserting runs for both day and night production schedules; set-up of labeling equipment and day labeling requirements. Substitutes for and in place of the Mailroom Manager is his/her absence. Meets all the requirements above by performing the following duties: ESSENTIAL JOB FUNCTIONS: * Oversees the set-up of inserting machines, schedules inserts for zones and quantity, for day inserting runs and in assistance for set-up of each inserting operation as required. * Inspects products to verify conformance to specifications and directs setup and adjustments of machines for day insert operations, special section stack-down and TMC mailing operations. * Prepares production schedules and estimates workers hour requirements for timely completion of day production insert runs. * Coordinates work assignment(s) with maintenance staff, orders parts, provides input into best repair and maintenance procedures; maintains parts inventory as required. * Supervises receiving and storage of advertising inserts, maintains accurate inventory of quantity, location, run dates, zones and other pertinent information pertaining to accurate storage and retrieval of advertising inserts. Supervises and coordinates the work schedules of warehouse staff for storage and retrieval operations, inventory of circulation supplies, and press section stack-down operations. * Maintains required time, production, machine performance and inventory records within the Mailroom department as specifically assigned or defined as standard operating procedure. * Communicates and coordinates production schedules for commercial print customers and special section production with supervisors of other departments as necessary. * Acts on-behalf-of and substitutes for the Mailroom Manager in his/her absence. Assumes the responsibilities of the manager for coordinating inserts schedules day and night operations, staff hiring and scheduling for regular and temporary staff, payroll processing, invoice processing, and all other duties as covered by position description. * Other duties: attends scheduled department and company meetings as required; keeps up-to-date on new mailroom technology, and provides on-going on-the-job training of staff; provides input to Manager for the department budget as required; suggests changes in working conditions and use of equipment to increase efficiency of shop, department, or work crew;interprets company policies to subordinates; recommends measures to improve production methods, equipment performance, and quality of product as required. * Directly supervises the day packaging and warehouse staff within the operation of the department; supervises mailroom mechanical staff in maintenance of equipment. Carries out supervisory responsibilities in accordance with the organization's policies and procedures. * The employee is responsible for ensuring all deadlines are met, and that the operation runs smoothly and efficiently. * The employee is responsible for providing input to the department manager relative to the budget planning process. The employee is responsible for attending training seminars, department meetings, and continue on-the-job training as required. * The employee has access to confidential personnel records and information, and is required to maintain the utmost discretion regarding such information.Any unusual situations are to be referred to the Mailroom Manager as required. DIRECT REPORTS:? Machine Operators and Inserters NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES:? Ability to follow all Company policies and procedures including but not limited to attendance standards. * Ability to work in a team environment is essential. * The ability and skill to effectively communicate and interact personally or by telephone with team members, customers, clients and other employees of the organization in a professional and courteous manner is essential. * Ability to read, write and comprehend simple instructions, routine reports and short correspondence. * Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. * Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. * Ability to apply commonsense understanding to carry out detailed but uninvolved instructions furnished in written, oral, or diagram form. * Ability to define problems, collect data, establish facts, and draw valid conclusions effectively dealing with problems involving a few concrete variables in standardized situations. * Ability to interpret technical instructions in mathematical or diagram form. * Ability and mechanical skill diagnose problems and make minor repairs to equipment as required. * Ability and to use operate an electric floor jack, gas powered riding forklift, and various related mechanical hand tools. EDUCATION AND EXPERIENCE: High school diploma or general education degree (GED); or three years related experience and/or training; or equivalent combination of education and experience. Previous managerial and supervisory experience involving appraising performance, disciplining, and training of workers supervised is required.An in-depth knowledge of mechanical mailroom equipment is necessary. The employee must possess strong interpersonal skills in dealing with management and other employees of the organization, and sufficient to handle situations in which strong opinions and/or emotional reactions are a factor. PHYSICAL DIMENSIONS for Lifting, Carrying, Pushing, Pulling: Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.Job involves sitting most of the time.Jobs are sedentary if walking and standing are required only occasionally.
