This position plans, schedules, develops agendas, creates content and manages project planning meetings which include stakeholders within the department, the campus and the community. Collect feedback from and provide input to directors, managers, university and community partners to coordinate projects, their progression and communication. Manages projects in line with business strategies and in accordance with project management standards. Establishes goals and timelines for communication campaigns and stakeholder meetings. Represents Transportation Services at campus and community project meetings with authority to commit departmental staff and resources. Required Education and Experience:Bachelor’s degree in related field or equivalent combination of education and experience.Five years of related experience in public outreach and project management. Required Licenses and Certifications:Must have or be able to obtain State of Texas class "C" vehicle driver license within 30 days of employment. Required Knowledge, Skills, and Abilities:Project management record keeping (PM software; spreadsheet or other tool). Presentation creation. Microsoft Office. Ability to multi-task and work cooperatively with others. Preferred Education and Experience:Master’s degrees in related field, such as urban planning, communications, business or management. Many projects will involve road closures and re-routing; traffic planning experience.  Many projects will involve mapping; Geographic Information Sciences or Systems experience. Preferred Knowledge, Skills, and Abilities:Some projects will involve construction and although the person in this position is not responsible for managing the construction contract, he/she will be coordinating communication about and stakeholder meetings associated with construction. Knowledge in traffic engineering and construction principles and practices. Rate of pay: $50,162.00 - $64,480.00 Responsibilities:Handles schedules and ever-changing project goals.  Manages the coordination meetings to begin planning or updating event, construction or project that is the current or upcoming focus.  Collect any current documents for the project, set a meeting agenda and timeline for meeting participants to follow.  If a meeting is not necessary for the project, set tasks to be completed via the timeline set and reach those responsible for finalizing tasks. Follow-up with those responsible for tasks to ensure timeline is being met and the project continues to move forward. Manages every project completely, including communication between and efforts of department, university and community.  Document any changes or alterations to the project as it progresses through planning.  Wrap-up meetings or document changes may need to occur followed by all this information being added to the project management details.Conducts inspections of projects and site activities to ensure progression follows prescribed plan and matches plan communicated. Act as project customer service representative to clients affiliated with assigned projects. Ability to read and interpret contract documents. When problems arise, intercede to settle conflicts between co-workers, make scheduling adjustments, and confer with managers to change budget and resource allocations and keep all parties involved apprised of changes in dates and or phases.Assist with managing plans that have been developed by group effort, usually from managers and directors who meet to collaborate about the comprehensive needs of the project or event.  Review previous similar events or projects to prepare for the collaboration meeting to help ensure the team overlooks no elements of a successful plan.  The contract documents may be for construction projects or with other vendors providing services at our request on our campus.  Manage the contracts, but should be able to read and interpret them to extract elements important to outreach about the project or agreed upon collateral or actions from the vendor/contractor.Develops and manages communication outreach and action plans for special events taking place on campus. Manages coordination with customers to include any meetings necessary for outlining timelines and communication for the event then providing details in writing so that the customer can confirm the planning. Consults with customers about solutions when new parameters do not meet their anticipated needs.Investigates complaints and resolves problems. Initiates process changes.  Manages the communication plan to department units, university partners, and community partners as deemed necessary. Provides on-site supervision for special events as needed in order to recommend changes during or after the event.Transportation Services is committed to providing courteous, responsive, quality service to our customers by fostering a respectful, positive, and welcoming environment for all. This will include but not be limited to students, faculty, staff or the local community.Coordinates Capstone Class projects including communication and data needs.  Coordinates Capstone Class Projects. The projects are ones Transportation Services is invited to put forth concepts the department wants to explore or real world problems the department is already experiencing so professors can consider them for assignment to small student groups within their senior or graduate level classes.  Submit and participate in several per semester.Beyond submitting a problem for them to solve, generally, the department meets with the group of students every week or two during the semester to give feedback about the direction they are taking to solve the problem and to provide data they need for evaluation and providing the solution.  Gather the concepts to be considered for the projects and communicate with department members who should be involved with the project to include setting up meetings with the students. Performs other duties as assigned.
