process.The Operations and Administrative Coordinator provides
comprehensive administrative and operational support for plant and
terminal activities. This role ensures the accurate tracking of
incoming materials and fuels, inventory items, supports purchasing
and invoice reconciliation, coordinates employee onboarding and
travel, and plays a vital role in community relations and safety
compliance. The person will enter manual BOLs as needed and act as
an alternative bulk loading operator when required. The ideal
candidate is detail-oriented, organized, and capable of managing
multiple responsibilities in a fast-paced environment.Operations
Support:
- Track, receive, and record all materials and fuels received
into the facility.
- Maintain a revenue report for all port-generated business
revenue.
- Generate revenue sales orders in accounting software and
collaborate with billing to generate invoices.
- Act as accounts payable representative for all port-generated
billed items and follow up with vendors on payments.
- Create and reconcile reports as needed.
- Perform month-end reporting and reconciliation of purchasing
card expenses.
- Assist operations with truck loading and BOL entry when
automated systems are down or as needed.Administrative Duties:
- Track and process all invoices for timely payment.
- Supervise the contractor responsible for office cleaning.
- Replenish and maintain inventory of office supplies.
- Manage Kronos badge replacements and maintain accurate
records.
- Keep files on all vessels, BOLs, and invoices accurately.
- Arrange training facilities, catering, and PPE for guests
attending meetings.Community Engagement:
- Serve as the facility's community liaison.
- Coordinate and process community donation requests.
- Organize and support local community and facility events.HR &
Safety Support:
- Arrange travel for employees and candidates attending onsite
interviews.
- Conduct onboarding activities for new recruits.
- Schedule and coordinate OSHA-required testing.
- Maintain safety KPIs and manage safety boot and glasses
allowance programs.Qualifications:
- 2+ years of experience in administrative, logistics, or
operations support roles.
- Proficient in Microsoft Office Suite and SAP or similar ERP
systems.
- Strong organizational and communication skills.
- Ability to manage multiple tasks with accuracy and
efficiency.
- Experience in a recession-resistant industry.
